Job Description

Bookkeeper / Sales Assistant (P/T contract labor or part time employed) Location: Billings, MT (remote/hybrid) Position Summary We are seeking a highly organized, detail\-oriented Bookkeeper / Sales Assistant to join our growing team. This position combines bookkeeping, sales support, and general office administration. The ideal candidate has extensive QuickBooks experience, advanced Excel skills, and thrives in a fast\-paced, customer\-focused environment. Primary Responsibilities Bookkeeping * Maintain accurate financial records using QuickBooks. * Manage accounts payable and accounts receivable. * Process customer payments and vendor invoices. * Reconcile bank accounts and credit card statements. * Prepare monthly financial reports and assist with month\-end and year\-end closing. * Assist with payroll processing and sales tax reporting. * Work with the company’s CPA to ensure accurate financial reporting and tax preparation. Sales \& Administrative Support * Prepare quotes, invoices, and sales orders and other documents. * Assist the owner with customer follow\-up and order processing. * Maintain customer and vendor records. * Track production schedules, purchase orders, and customer deadlines. * Answer phones and respond professionally to customer inquiries. * Organize electronic and paper filing systems. * Support owner with administrative projects and daily office operations. Qualifications * Extensive hands\-on experience with QuickBooks is required. * Advanced Microsoft Excel skills are required, including the ability to: * Build spreadsheets from the ground up. * Modify and improve existing spreadsheets. * Create formulas and functions (VLOOKUP/XLOOKUP, IF statements, SUMIFS, etc.). * Generate pivot tables and reports. * Analyze and organize data efficiently. * Proficiency in Microsoft Outlook and Word. * Excellent organizational and time management skills. * Strong attention to detail and accuracy. * Confidentiality agreement must be signed to work on any projects. * Excellent written and verbal communication skills. * Ability to handle multiple priorities while meeting deadlines. * Professional demeanor and strong customer service skills. Preferred Experience * Minimum of 3 years of bookkeeping experience. * Experience supporting a sales team or customer service department. * Experience with third\-party sales platforms is preferred. * Accounting or business coursework is a plus. Personal Attributes * Honest, dependable, and trustworthy. * Self\-motivated with the ability to work independently. * Strong analytical and problem\-solving skills. * Positive attitude and willingness to support the owner wherever needed. * Comfortable working in a dynamic, yet small office environment. * Must have excellent written and verbal communication skills.
