Job Description

Position Overview HealtheFlex is seeking a highly organized, trustworthy, and detail\-oriented Bookkeeper / Administrative Assistant to support the company’s accounting, payment, administrative, and executive office functions. This role will work closely with ownership and the executive team to help keep financial and administrative operations running smoothly, accurately, and efficiently. The ideal candidate is dependable, confidential, proactive, and comfortable handling accounting\-related tasks, invoice processing, payment initiation, recordkeeping, and a wide range of administrative responsibilities. Key Responsibilities Accounting \& Bookkeeping * Enter, track, and maintain accurate financial records. * Assist with accounts payable and accounts receivable functions. * Review, code, and process vendor invoices. * Prepare invoices for approval and payment. * Initiate payments, distributions, and transfers as directed and approved by ownership or management. * Reconcile bank accounts, credit cards, vendor accounts, and internal records. * Maintain organized financial files, receipts, payment records, and supporting documentation. * Assist with month\-end closing support and reporting. * Communicate with vendors, partners, and internal team members regarding billing or payment questions. * Support outside accountants, CPAs, or financial advisors with requested documentation. Administrative Support * Provide administrative support to the owners and executive team. * Assist with scheduling, calendar coordination, meeting preparation, and follow\-up items. * Prepare documents, reports, spreadsheets, forms, and correspondence as needed. * Maintain organized digital and physical filing systems. * Help manage company records, agreements, invoices, statements, and operational documents. * Assist with email, phone calls, follow\-ups, and internal communication. * Coordinate administrative tasks related to vendors, partners, clients, and team members. * Support special projects and executive\-level initiatives as assigned. Executive \& Owner Support * Handle confidential business and financial information with discretion. * Track open tasks, deadlines, approvals, and follow\-up items for ownership and leadership. * Assist with preparing information for meetings, financial reviews, and business planning. * Help improve internal administrative processes and workflows. * Serve as a reliable support resource for day\-to\-day business needs. Qualifications * Prior bookkeeping, accounting, administrative, or office management experience preferred. * Experience with QuickBooks, accounting software, Microsoft Excel, Google Sheets, or similar tools preferred. * Strong attention to detail and accuracy. * Ability to handle confidential financial and business information. * Excellent organizational and time\-management skills. * Strong written and verbal communication skills. * Ability to prioritize tasks and manage multiple responsibilities. * Comfortab
