Job Description
**Bookkeeper / Administrative Assistant**
TelStar National – Remote
TelStar National is a fast\-growing turnkey AV, lighting, security, and network infrastructure company based in Austin, TX, specializing in multi\-unit and franchise clients including fitness studios, family entertainment centers, hotels, salons, and recreation centers.
We are seeking a detail\-oriented Bookkeeper/Administrative Assistant who is proficient in QuickBooks Online (required) to manage day\-to\-day bookkeeping, liaise with our payroll and insurance partners, and provide general administrative support to the team. This role reports directly to the owner.
**Key ResponsibilitiesAccounts Payable \& Receivable**
* Manage full\-cycle accounts payable and accounts receivable
* Track and record all invoices, receipts, and account statements
* Monitor and maintain vendor accounts and customer balances
* Follow up on outstanding invoices and past\-due payments
**Bill Pay \& Reconciliation**
* Run a weekly bill pay cycle, processing payments, checks, and bank deposits
* Reconcile and balance all bank, credit card, and vendor accounts
* Reconcile company credit card statements and enter/match supporting receipts
* Transfer and verify data within the general ledger
* Maintain a complete and organized filing system for financial records
**Cash Flow Analysis \& Reporting**
* Prepare a monthly cash flow report by the 5th of each month, plus ongoing projections
* Collate and analyze account data to generate financial reports for leadership
* Flag potential shortfalls or timing issues and recommend adjustments
* Assist with budget preparation and tracking against actuals
**Month\-End Close**
* Prepare and post monthly accrual entries (e.g. AP, payroll, prepaid expenses)
* Assist with general month\-end close tasks to ensure accurate financial statements
**Payroll Support \& Partner Liaison**
* Submit employee hours to our payroll partner on a biweekly basis
* Process small employee reimbursements
* Serve as the point of contact between TelStar and our payroll provider for routine items
* Serve as the point of contact between TelStar and our insurance/benefits partners for routine items (e.g. enrollment changes, billing questions)
* Support new hire onboarding logistics (paperwork, system setup, coordinating with payroll/benefits partners)
**General \& Administrative**
* Assist with general administrative projects as assigned (e.g. organizing and cleaning up company files)
* Provide general administrative support to ownership and operations team as needed
**Qualifications**
* Proficiency with QuickBooks Online required
* Prior bookkeeping or accounting experience required
* Strong attention to detail and organizational skills
* Comfortable working independently in a fully remote environment
* Discreet and trustworthy with sensitive financial information
