Job Description
**Position Summary**
The Couch Counselling and Support Services is seeking a compassionate and organized Client Wellness Coordinator to provide exceptional non\-clinical support to clients throughout their wellness journey. This fully remote position serves as a primary point of contact for client communications, appointment scheduling, intake coordination, referral support, and ongoing administrative assistance. The Client Wellness Coordinator helps ensure every client receives a welcoming, supportive, and seamless experience from their first inquiry through continued engagement with services.
The ideal candidate is empathetic, highly organized, and committed to delivering outstanding client service while maintaining professionalism and confidentiality.
**Responsibilities**
**Client Support**
* Serve as the primary point of contact for clients through phone, email, chat, and secure messaging platforms.
* Respond to non\-clinical inquiries regarding counseling services, appointments, intake requirements, and available resources.
* Provide prompt, courteous, and compassionate customer service.
* Escalate clinical concerns or urgent matters to the appropriate licensed professionals.
**Wellness Coordination**
* Coordinate new client intake and onboarding activities.
* Schedule, confirm, reschedule, and cancel appointments.
* Monitor client requests and ensure timely follow\-up.
* Support ongoing client engagement through proactive communication and service coordination.
**Referral \& Administrative Support**
* Receive and process incoming referrals from healthcare providers, community organizations, and self\-referrals.
* Maintain accurate electronic client records and documentation.
* Perform data entry and update client information within company systems.
* Prepare reports, correspondence, and administrative documents while maintaining confidentiality.
**Client Experience**
* Follow up with clients regarding administrative questions and appointment\-related needs.
* Collect client feedback to support continuous service improvements.
* Assist with wellness initiatives, educational programs, and client outreach activities.
* Collaborate with internal staff to ensure a positive and consistent client experience.
**Qualifications**
**Required**
* High school diploma or equivalent.
* Minimum 1 year of experience in customer service, healthcare administration, behavioral health support, social services, medical office administration, nonprofit organizations, scheduling, call center operations, or administrative support.
* Excellent verbal and written communication skills.
* Strong organizational, multitasking, and time\-management abilities.
* Ability to work independently in a fully remote work environment.
* Proficiency with Microsoft Office, Google Workspace, CRM systems, and web\-based software applications.
