Position Overview
The Office Manager / Administrative Assistant is the central hub of our daily operations. You will be the first point of contact for potential customers and play a major role in keeping our crews organized and our schedule running efficiently.
This position requires someone who is highly organized, tech\-savvy, quick on their feet, and capable of making sound decisions throughout the day.
Working from home means you must be self\-motivated, dependable, and able to manage your time without direct supervision.
Primary ResponsibilitiesCustomer Communication
* Respond quickly to all incoming leads from Google, Facebook, website forms, phone calls, text messages, email, and other marketing channels.
* Answer customer questions professionally and confidently.
* Build trust with potential customers and provide an excellent first impression.
* Follow up on missed estimates, unsold quotes, and inactive leads.
Scheduling \& Dispatch
* Schedule estimates and jobs efficiently.
* Coordinate daily schedules with field crews.
* Dispatch crews and communicate schedule changes throughout the day.
* Monitor crew progress and adjust schedules when necessary.
* Keep customers informed of arrival times and any delays.
Administrative Duties
* Maintain accurate customer information.
* Manage our CRM and scheduling software.
* Process invoices and assist with basic administrative tasks.
* Organize company documents and digital files.
* Help improve office systems and workflows.
Team Coordination
* Communicate with crew members throughout the day.
* Help solve scheduling conflicts.
* Assist management with operational planning.
* Ensure everyone has the information they need to perform their jobs successfully.
Sales Support
* Help convert leads into booked jobs.
* Follow up with previous customers for repeat business.
* Encourage online reviews after completed jobs.
* Assist with customer retention efforts.
Community Outreach (Growth Opportunity)
This position may also include opportunities to help grow the business by:
* Visiting apartment communities
* Building relationships with property managers
* Networking with Realtors
* Developing commercial accounts
* Assisting with local marketing efforts
* Performing on\-site estimates when needed
