Hours: Full time; Remote Time Zone: ESTSenior Project Manager / CoordinatorThe client is looking for a highly organized, process-driven Senior Project Manager/Coordinator to own the end-to-end health of every project across the agency.This role acts as the operational backbone of the delivery team — ensuring project boards are accurate, sprints run smoothly, SLAs are met, and all stakeholders remain accountable.What You’ll DoProject Operations & Data IntegrityMaintain and update all project boards in ClickUp and other PM tools daily, ensuring all data is accurate and audit-readyOwn project data integrity and reporting — dashboards must reflect real-time status across all active engagementsTrack deliverables, milestones, and deadlines; proactively flag risks, blockers, and capacity issuesMaintain and refine project documentation, SOPs, process templates, and onboarding materialsProduce weekly and monthly project health reports for internal and client-facing stakeholdersScheduling & CommunicationCoordinate and schedule all internal and client-facing meetings (standups, sprint ceremonies, check-ins, QBRs)Monitor and manage the help desk queue in HubSpot, ensuring all emails and tickets are handled within SLAAct as a key escalation and coordination point between account managers, leads, and clientsEnsure no communication (emails, tickets, meetings) is missed — own the communication flowAccountability & Team LeadershipHold leads and account managers accountable to commitments through structured follow-ups and escalationIdentify bottlenecks and dependencies proactively and drive resolutionWork with department leads to align resource allocation with project demands and sprint capacityAgile & Scrum LeadershipFacilitate daily standups — keep them focused, time-boxed, and actionablePlan and lead sprint ceremonies (backlog grooming, sprint planning, sprint reviews)Run structured retrospectives to drive continuous improvementEnsure sprint goals are clearly defined and properly trackedMonitor velocity and ensure capacity is alignedChampion Agile best practices across the teamRemove blockers quickly and escalate when neededMaintain a prioritized backlog with properly estimated and assigned tasksRequirementsRequirements (At a Glance)Agency experience (required)HubSpot (required)ClickUp & project management tools (required)Google Workspace (required)Agile / Scrum methodologies (required)Tools & PlatformsRequiredHubSpot (CRM, pipeline, help desk, SLA tracking)ClickUp (boards, sprints, dashboards, reporting)Google Workspace (Docs, Sheets, Drive, Calendar, Gmail — advanced level)Strongly PreferredAsana, Monday.com, Jira, Notion, or similar PM toolsSlack or similar communication toolsZoom / Google MeetWhat You Bring5+ years of project management experience (agency background required)Strong hands-on experience with HubSpot and ClickUpExperience with at least one additional PM platformStrong proficiency in Google WorkspaceExperience or certification in Agile/ScrumExcellent written and verbal communication skillsHigh attention to detail with a process-driven mindsetAbility to manage multiple projects simultaneouslyWhat Success Looks LikeProject boards are always accurate and up to dateSLAs are consistently met across all accountsSprints are clearly defined, well-facilitated, and documentedTeams are held accountable with minimal oversightDashboards are trusted as the single source of truthClients feel informed, supported, and confident in project deliveryImportant NoteCandidates without agency experience will not be consideredThis role requires someone who understands the pace, complexity, and client-facing nature of agency workBenefitsOpportunities for growth and advancementCompetitive compensation package, including Maxicare HMO after three months probationary periodOriginally posted on Himalayas
