This is not an admin role. We’re hiring a systems\-focused operator to build dashboards, clean up our CRM, and create workflows that bring clarity and reliability to a growing functional medicine practice. **Practice Operations Coordinator** **Remote \| Part\-Time (20 hrs/week) \| Mon–Th \| U.S.\-Based** **Pay: $32,000 per year** **About Twin Oaks Health** Twin Oaks Health is a functional medicine practice on a mission to make chronic disease optional. We deliver high\-touch, root\-cause care to people who are often frustrated by the traditional healthcare system. Because of the nature of our work, we rely on clarity, reliability, and strong systems behind the scenes. As we grow, we are focused on strengthening the systems behind the scenes so that our clinical and client\-facing teams can operate with consistency, reliability, and confidence. **The Role** The Practice Operations Coordinator is responsible for building and strengthening the internal operating systems of the clinic. This is not an administrative support role, but a systems\-focused position for someone who enjoys creating structure, improving workflows, and bringing clarity to how a business runs. You will work directly with the founder to assess current operations, identify inefficiencies, and build systems that improve visibility, reliability, and execution across the practice. This role is ideal for someone who thinks in terms of processes rather than tasks, and who is comfortable stepping into environments where not everything is fully built yet. You will be expected to take initiative, identify problems, and contribute to solutions, particularly in the early stages while trust and context are being established. **Core Responsibilities** In this role, you will take ownership of the clinic’s CRM and operational systems, including cleaning up and restructuring our GoHighLevel environment so that it is reliable, organized, and scalable. You will build and maintain dashboards using GoHighLevel and Google Sheets that provide clear, accurate visibility into key business metrics, and you will work with leadership to define, track, and refine KPIs and OKRs over time. You will also be responsible for identifying areas where processes are manual, inefficient, or unclear, and designing workflows and basic automations that improve how work moves through the business. This includes supporting improvements across the client journey, internal handoffs, and data tracking systems. A key part of the role involves conducting an operational audit of the practice early on, identifying where systems are breaking down or underdeveloped, and proposing a prioritized plan for improvement with clear timelines. Initially, you will bring both problems and proposed solutions to leadership, and as trust is established, you will be expected to take greater ownership over decision\-making and execution.
