Job Description

**Bookkeeper / Staff Accountant** EPEE Inc. \| Contract, hourly \| Fully remote, United States EPEE Inc. is an industrial services company with two divisions: EcoEnergy Equipment, which refurbishes tanks and delivers them, and Ecopowder Coating, an industrial coating operation. Annual revenue is approximately $2\.5 million. The company is owned by a family office. We are looking for an experienced bookkeeper to take over our books and help us understand what the numbers are telling us. This is an hourly contract engagement. We run QuickBooks Online, so the work can be done from anywhere in the country. You will work directly with our chairman, who is based in New York. **CURRENT STATE OF THE BOOKS** EPEE has grown faster than its accounting has. The company is profitable and generating cash, but the books are kept on a cash basis and do not yet carry accounts receivable, accounts payable, inventory or depreciation. Invoicing is not currently run through QuickBooks. Gross margin swings sharply month to month because inventory purchases are expensed when bought rather than matched against the sales they support. The first two to four months of this engagement are therefore a cleanup, described at the end of this posting. After that the role settles into a normal monthly rhythm. **RESPONSIBILITIES** **1\. Bookkeeping and general ledger.** All day\-to\-day entry in QuickBooks Online. Bank and credit card reconciliations, journal entries, and a chart of accounts kept clean enough to report from. **2\. Invoicing and accounts receivable.** Set up invoicing in QuickBooks Online and then run it. Raise customer invoices on time, bill freight as its own line rather than absorbing it into price, use progress invoicing against estimates where a job is billed in stages, and set up automated payment reminders. Maintain the receivables aging and follow up on what is overdue. **3\. Accounts payable.** Vendor bills entered and aged, payments scheduled, vendor credits tracked and cleared rather than left sitting. **4\. Income statement.** Revenue recorded by division and product line. Cost of goods sold matched to the revenue it supports, with tank cores and refurbishment costs released to COGS when the unit is sold rather than expensed at purchase, and freight captured against the jobs that incurred it. Operating expenses coded to the correct accounts. A monthly P\&L that shows each division separately, with corporate overhead allocated rather than absorbed centrally. **5\. Balance sheet.** Inventory capitalized and carried at a value that holds up. A fixed asset register with a depreciation schedule. Debt schedules for our notes, with principal and interest split correctly and the current portion of long\-term debt classified as current. Accrued liabilities recorded, including an income tax provision. Stale items in other current assets cleared. We want a balance sheet a lender or a buyer could read without explanation. **6\. Monthly close and report
