Job Description

True North Painting is seeking a highly organized, tech\-savvy, and sales\-oriented Administrative Assistant to support our growing residential painting company. We need someone who is dedicated, tech\-savvy, interested in operations, sales\-focused, and hungry. Willing to take calls after hours. This is not a traditional admin role focused only on paperwork. The most important part of this position is communicating with homeowners, pre\-qualifying leads, and setting high\-quality estimate appointments that convert into projects. The ideal candidate is comfortable working in a modern digital environment, using tools such as AI assistants (ChatGPT), Google Workspace, CRM systems, Zoom meetings, and cloud\-based workflows. You must be confident speaking with clients, guiding conversations professionally, and helping move potential customers toward scheduling consultations. If you enjoy organization and customer interaction — and naturally bring a sales mindset to conversations — this role will be a strong fit. **Key Responsibilities** * Answer and manage **inbound calls** with professional, courteous service * Speak with homeowners to **pre\-qualify leads and set high\-quality estimate appointments** * Coordinate and maintain **production schedules** * Assist with **payroll organization**, ensuring accuracy and timeliness * Support recruitment efforts by **screening calls, posting ads, and organizing interviews** * Manage **email and internal communication**, relaying key information to the team * Serve as a **liaison between clients and project managers** * Make **outbound follow\-up calls** to support new business * Track and document **project expenses** * Maintain and update **CRM systems** with accurate client data * Handle general **administrative and office tasks** as needed **Qualifications** * Must be **located in the United States** and authorized to work * Must live within **45 minutes of Chesterland, OH** * Comfortable using **Google Workspace, CRM systems, Zoom, and AI tools (ChatGPT)** * Must have a **working webcam** for meetings * Minimum **1 year of experience** in administrative, customer service, appointment\-setting, or coordination roles * Strong **sales mindset** and ability to guide client conversations * Excellent **customer service and communication skills** * Highly **adaptable in a fast\-paced environment** * Coachable and eager to **learn new systems and grow** * Highly **reliable with strong follow\-through** * Strong **organizational skills and attention to detail** * Must have a **quiet, distraction\-free home office**, reliable internet, and equipment capable of running Zoom and cloud\-based tools **Additional Requirements** * Comfortable taking **weekend and after\-hours calls as needed** * Strong **phone skills** and confidence speaking with customers * Must be able to **demonstrate home office setup during interview** * Eager to grow and take on increasing responsibility **Preferred / Nice\-to\-Have**
