You’ll manage scheduling, coordinate communication across departments, and maintain accurate records—all while fostering efficient collaboration in a remote work setting aligned with US hours.What You’ll DoManage calendars and coordinate appointments for healthcare staff and facilitiesSchedule patient consultations, team meetings, and follow-up sessionsHandle correspondence, emails, and coordination between internal teams and external partnersTrack and update operational records, spreadsheets, and patient scheduling systemsSupport general administrative operations and process improvement initiativesCommunicate clearly and promptly with US-based teams during EST business hoursEnsure all information is handled with confidentiality and professionalismWhat You BringEssential Requirements:Based in South AfricaFluent English (first language proficiency)Able to work EST business hours (typically 3pm–11pm SAST)Reliable internet connection and equipped home office setupMinimum 2 years of experience as a Virtual Assistant, Administrative Assistant, or SchedulerStrong organizational and prioritization skillsExcellent written and verbal communication abilitiesProficiency with Microsoft Office, Google Workspace, and scheduling tools (e.g., Calendly, Zoom, Slack)Ability to learn new software tools quickly and apply them effectivelyPreferred:Previous experience supporting healthcare providers, medical offices, or clinicsFamiliarity with US healthcare scheduling or patient management systemsExperience in remote work environmentsExposure to CRM tools or task management systems (e.g., Asana, Trello)Experience communicating across time zonesTechnology StackMicrosoft Office Suite, Google Workspace, Zoom, Slack, Calendly, Asana, CRM platforms (HubSpot or Salesforce advantageous)What We OfferFull-time remote contract positionWork from anywhere in South AfricaEST business hours (approximately 3pm–11pm SAST)Competitive monthly contract rate (commensurate with experience)Timely and reliable monthly payments via international transferGrowth opportunities supporting a fast-growing US healthcare organizationProfessional development through exposure to global operationsWorking with Our US ClientThis role is offered through our South Africa–US partnership model.
