In this role, you will serve as a trusted partner responsible for managing priorities, protecting the CEO's time, and ensuring daily operations run efficiently. You will play a critical role in coordinating schedules, managing communications, facilitating meetings, conducting research, and supporting both strategic and administrative initiatives. The ideal candidate thrives in a fast paced environment, anticipates needs before they arise, and demonstrates exceptional professionalism, discretion, and sound judgment. If you enjoy creating structure, solving problems independently, and making a meaningful impact behind the scenes, this opportunity is for you.•Monthly compensation: 1200 USDResponsibilities include, but are not limited to:Update and maintain the CEO's task lists and follow up on pending action items.Support preparation and coordination for L10 meetings, check in meetings, office hours, and other recurring leadership meetings. Announce, coordinate, and attend office hours as required.Anticipate needs, identify potential issues, and implement solutions proactively.Make payments and complete administrative transactions as directed.Maintain strict confidentiality while handling sensitive business and personal informationManage and maintain the CEO's calendar, ensuring priorities are aligned and scheduling conflicts are proactively resolved.Coordinate and schedule meetings, appointments, and events as requested.Prepare, organize, and distribute the CEO's daily agenda.Attend meetings on behalf of or alongside the CEO when required.Prepare meeting notes and maintain accurate records of discussions and action items.Answer and place phone calls as needed.Protect the CEO's time and mental space by managing interruptions, prioritizing commitments, and maintaining focus on key objectives.Review and monitor the CEO and the firm's email accounts, identifying and escalating important matters requiring attention.Send meeting reminders five minutes before scheduled meetingsCoordinate travel arrangements, itineraries, and related logisticsAssist with personal and professional tasks that support the CEO's priorities.Conduct research and gather information to support decision making and ongoing initiativesLiaise with internal teams to ensure projects, priorities, and commitments remain organized and on track.Requirements: 2+ years of experience as an Executive Assistant, Administrative Assistant, or similar administrative support role•Experience supporting a senior executive, founder, or leadership team•Experience coordinating travel arrangements and managing complex calendars• Software & Tools: Microsoft Office Suite, Zoom, Microsoft Teams, Calendly•Excellent written and verbal communication skills ••Strong organizational and time management abilities•Ability to prioritize multiple tasks in a fast paced, fast changing environment•Ability to work independently with little to no supervision•High level of confidentiality and professional judgment•Comfortable performing research and handling executive support tasks•Strong attention to detail and follow through•Required skills:Executive SupportCalendar ManagementEmail ManagementMeeting CoordinationTravel CoordinationAdministrative SupportResearch and Information GatheringWritten CommunicationVerbal CommunicationTime ManagementOrganization and PlanningTask PrioritizationProfessional JudgmentProactive MindsetResourcefulnessProfessionalismAccountabilityRelationship ManagementAbility to Work IndependentlyWork Shift:8:30 AM - 5:30 PM [EST][EDT] (United States of America)Languages:English, SpanishReady to dive in?
