FS MECHANICAL SERVICES BOOKKEEPER / FINANCIAL ADMINISTRATOR Location: Remote or Hybrid (Florida Preferred) Employment Type: Full\-Time ABOUT US FS Mechanical Services (Five Star Cooling and Heating, LLC) is a growing commercial HVAC and refrigeration company serving Central Florida. We provide service, maintenance, repairs, and installations for commercial facilities including convenience stores, restaurants, retail locations, and other commercial customers. We are seeking a highly organized, detail\-oriented, and trustworthy Bookkeeper / Financial Administrator to oversee daily accounting functions, financial recordkeeping, payroll coordination, accounts payable, accounts receivable, and financial reporting. This position is a role of significant trust and responsibility and reports directly to the Owner. PRIMARY RESPONSIBILITIES * Manage QuickBooks Online daily * Accounts payable processing * Accounts receivable management and collections * Customer invoicing and payment application * Bank and credit card reconciliations * Purchase order tracking * Job costing support * Payroll preparation and verification * Vendor setup and maintenance * Financial reporting and monthly close support * Review and verify employee time records * Track employee reimbursements * Monitor outstanding receivables * Assist with budgeting and cash flow reporting * Maintain organized accounting records and supporting documentation * Coordinate with CPA and tax professionals as required REQUIRED QUALIFICATIONS * Minimum 5 years of bookkeeping experience * Advanced QuickBooks Online experience * Strong understanding of Accounts Payable and Accounts Receivable * Experience processing payroll * Strong Microsoft Excel proficiency * Exceptional attention to detail and organizational skills * Ability to maintain strict confidentiality * High level of integrity, accountability, and professionalism * Strong written and verbal communication skills PREFERRED QUALIFICATIONS * Experience in HVAC, construction, mechanical contracting, plumbing, electrical, or field service industries * Experience with job costing * Experience with Housecall Pro or similar field service management software * Experience managing payroll for service\-based businesses * Accounting, Finance, or Business\-related education and training COMPENSATION Compensation will be negotiated based on experience, qualifications, industry knowledge, demonstrated capabilities, and overall fit for the position.
