Sales Assistant (CRM, Scheduling & Sales Operations) – Remote | U.S. HoursPosition Type: Full-Time, Remote
Working Hours: U.S. Business HoursAbout the RoleAt Pavago, one of our clients is hiring a highly organized and execution-focused Sales Assistant to support a fast-moving sales team across CRM management, scheduling, proposals, reporting, and day-to-day sales operations.This is not a sales-closing role. Your job is to make sure the sales team stays organized, prepared, and focused on revenue-generating activities.You’ll help ensure:
CRM records are accurate and up to date
Sales calls and follow-ups happen on time
Proposals and presentations are polished and accurate
Pipeline reporting remains reliable
No lead, task, or opportunity falls through the cracks

Maintain accurate records in CRM platforms such as Salesforce, HubSpot, Zoho CRM, or Pipedrive
Update leads, contacts, opportunities, and pipeline stages
Keep notes, activities, and next steps current
Identify and remove duplicate, incomplete, or outdated records
Maintain strong CRM hygiene and reliable pipeline visibility
Support day-to-day sales workflows and operational organization
Scheduling & Calendar Coordination
Schedule:
Sales calls
Product demos
Follow-up meetings
Internal meetings
Coordinate calendars across multiple time zones
Manage scheduling through Google Calendar, Outlook, and Calendly
Handle reschedules, reminders, and meeting logistics
Ensure sales representatives have the right context and materials before meetings
Proposals & Sales Documents
Prepare, format, and proofread:
Sales proposals
Quotes
Presentations
Client-facing documents
Support RFP and RFI responses using approved templates
Create polished materials using Google Slides, PowerPoint, and Canva
Ensure documents are accurate, professional, and delivered on time
Reporting & Pipeline Tracking
Prepare weekly and monthly sales reports
Track:
Pipeline activity
Conversion metrics
Sales KPIs
Deal progression
Maintain dashboards and reporting trackers
Ensure leadership has accurate visibility into sales activity and pipeline performance
Communication & Follow-Up
Draft professional follow-up emails, reminders, and meeting summaries
Support inbound lead routing and response coordination
Track outstanding actions and follow-ups
Ensure prospects receive timely communication
Help maintain momentum throughout the sales process
Cross-Functional Coordination
Collaborate with Sales, Marketing, Finance, and Operations
Coordinate internal handoffs and approvals
Track deal-related tasks and documentation
Help prevent communication gaps and operational delays
Support smooth transitions from sales into onboarding or delivery
Required Experience & SkillsMust-Have
1–2+ years of experience in:
Sales Support
Administrative Support
Operations Coordination
Executive Assistance
Hands-on experience with at least one CRM:
Salesforce
HubSpot
Zoho CRM
Pipedrive
Strong scheduling and calendar management experience
Proficiency with Google Workspace and/or Microsoft Office
Strong written English communication skills
Excellent organizational and multitasking abilities
High attention to detail and consistent follow-through
Comfortable working remotely during U.S. business hours
Nice to Have
Experience preparing sales proposals, decks, or presentations
Exposure to SDR or BDR workflows
Previous experience supporting Account Executives or sales leadership
Experience in:
SaaS
Recruiting
Marketing agencies
Professional services
Basic Excel or Google Sheets reporting skills
Familiarity with:

What a Typical Day Looks LikeYou might start your day by reviewing the CRM, updating pipeline records, and checking upcoming sales meetings and outstanding follow-ups.Throughout the day, you’ll coordinate calendars, prepare proposals and presentations, send follow-up communications, update reports, and help sales representatives stay organized.You’ll also coordinate with other departments to ensure deal-related tasks and handoffs move forward without unnecessary delays.In short: you keep the sales engine organized, accurate, and moving so the sales team can focus on selling.Key Metrics for Success
