Medical Virtual Assistant & Patient Care CoordinatorRemote | Cosmetic/Plastic Surgery | 32 Hours per Week | $6 per Hour | Female-onlyWe are hiring a polished, highly organized Medical Virtual Assistant to support a U.S.-based cosmetic and plastic surgery practice. This position combines front-desk support, patient coordination, surgical scheduling, insurance tasks, and administrative assistance.The ideal candidate communicates with warmth and confidence and can provide the attentive, high-touch service expected in a premium cosmetic surgery setting.About the PracticeThe practice specializes in cosmetic and plastic surgery and primarily serves female patients. Every patient should receive a welcoming, professional, and personalized experience from the first inquiry through post-operative follow-up.Key ResponsibilitiesPatient CoordinationAnswer incoming calls and respond to patient inquiries professionallySchedule consultations, procedures, and follow-up appointmentsCoordinate surgery schedules with operating rooms and hospitalsConfirm that patients complete the required pre-operative and post-operative visitsExplain general pricing, balances, and available payment arrangements confidentlyMaintain a warm and reassuring approach when assisting patientsInsurance and Administrative SupportProcess insurance prior authorizationsComplete and submit medical claim forms using CPT and ICD-10 codes provided in the patient notesFollow up on outstanding claims, balances, and required documentationCollect patient balances and document payment conversations accuratelyMaintain organized and up-to-date patient recordsClinical and Urgent Communication SupportMonitor and respond promptly to time-sensitive emails from hospitals, operating rooms, and post-operative patientsIdentify urgent concerns and escalate them to the appropriate clinical team memberAssist with physician scribing and patient note management when neededProtect patient confidentiality and follow established practice proceduresRequired QualificationsAt least one year of Medical Assistant or Medical Virtual Assistant experiencePrevious experience processing medical claimsFamiliarity with insurance prior authorizations, CPT codes, and ICD-10 codesExcellent spoken and written English that is clear and easily understoodStrong phone presence and confidence discussing payments and patient balancesProfessional, polished, friendly, and composed communication styleExcellent organization, attention to detail, and follow-throughAbility to respond quickly to urgent surgical or post-operative concernsComfortable supporting a predominantly female cosmetic surgery patient populationReliable internet connection, computer equipment, and distraction-free workspacePreferred QualificationsExperience in cosmetic surgery, plastic surgery, dermatology, or another specialty practiceExperience coordinating surgical procedures with hospitals or operating roomsPhysician scribing or medical documentation experienceFamiliarity with Office AllyExperience using Google VoiceExperience supporting social media posting or patient lead trackingTools UsedOffice Ally for electronic medical recordsGoogle Voice for patient calls and communicationTime Doctor for productivity and device activity trackingIdeal CandidateYou will be successful in this role if you are naturally warm, polished, proactive, and dependable.
