Job OverviewWe’re seeking a highly organized and detail-oriented Executive Assistant with accounting and administrative experience to support daily business operations in a fast-paced remote environment. This role combines executive support, project coordination, and light accounting responsibilities, making it ideal for someone proactive, tech-savvy, and experienced with tools like QuickBooks, Notion, and Monday.com. Strong communication, multitasking, and time management skills are essential for success in this EST-aligned role.
Core Tasks:Monitor multiple inboxes to triage and respond to client questions and concernsAssist with various accounting tasks on a regular basisPerform ad hoc payment, invoice management, file management, etcManage a calendar including scheduling, meetings, and travel arrangementsServe as a contact between employees, clients, and external partnersPrepare/ edit correspondence, communications, presentations, reports, and other docsCoordinate meetings, set agendas, take minutes, and prepare follow ups / action itemsPerform other ad-hoc tasks with limited instruction as neededAssist with project management tasks (track deadlines/ coordinate to ensure success)Assist with business administrative and personal tasks as neededCreate SOPs and other documentation as neededMust-Haves:3+ years experience in an EA, administrative, or accounting-based roleStrong verbal and written English communication skills1 - 2+ years experience with Quickbooks Desktop versionExperience using notetakers and AI tools to create documentationStrong organizational and planning skillsExcellent time management skills and ability to multitask and prioritizeBackground with Notion andMonday.com for project management (or similar tools)Familiarity with WeChat (ideal) and Zoom for internal team coordination / communicationAbility to work full-time ESTNice-to-Haves:Educational background in Accounting and / or FinanceEvent planning experience (organizing corporate events, conferences, workshops, etc)Originally posted on Himalayas
