Job Description

This is a remote position.This is a high-impact support role responsible for managing administrative, operational, and executive priorities to ensure leaders can focus on strategic initiatives and business growth. This is not an entry-level position.The role works closely with executives and cross-functional teams to streamline workflows, improve efficiency, and maintain smooth day-to-day operations.Key ResponsibilitiesManage executive calendars, scheduling, and meeting coordination across multiple stakeholders and time zonesSupport inbox management, email correspondence, and communication on behalf of leadershipCoordinate travel arrangements, itineraries, and logistics as neededPrepare reports, presentations, meeting agendas, and supporting documentationTrack tasks, deadlines, and follow-up items to ensure timely completionMaintain organized records, files, and documentation systemsAssist with project coordination and operational initiatives across teamsConduct research and gather information to support business decisionsCoordinate with internal teams, clients, vendors, and external partnersIdentify opportunities to improve processes and enhance operational efficiencyHandle sensitive and confidential information with discretion and professionalismExpectationsMinimum 3–5 years of experience supporting executives, business leaders, or senior stakeholdersStrong organizational skills with the ability to manage multiple priorities in a fast-paced environmentExcellent written and verbal communication skills in EnglishProven experience managing calendars, scheduling, and executive communicationsProficiency in productivity and collaboration tools such as Google Workspace, Microsoft Office, and project management platformsAbility to work independently while exercising sound judgment and problem-solving skillsStrong attention to detail and commitment to accuracyComfortable handling confidential information with professionalism and discretionProactive, resourceful, and capable of anticipating needs before they ariseAdaptable to changing priorities and business requirementsWork Schedule: Monday - Friday, 9:00 am to 6:00 pm CST (1 hour paid lunch)Benefits:Company-paid comprehensive HMO for you and a dependent - not just an allowance!
