Backed by world-class investors, we are on track to be one of the few cash flow positive, tech-enabled unicorns based out of Asia-Pacific.RequirementsWe are looking for an Corporate Secretary Executive that is excited about the below Mission and Outcome.Mission: Based in Malaysia, the Company Secretary Executive will play a pivotal role in delivering exceptional corporate services to our clients.Outcome: The successful candidate will report to the Portfolio Team Manager and the Corporate Secretary Managers. You will be involved in the full-spectrum of corporate secretarial work. Key Responsibilities:Manage company incorporations: Handle new company setups, including private limited companies, sole proprietorships, and partnerships.Coordinate transitions: Manage the transfer of corporate secretarial appointments for existing companies.Draft statutory documentation: Prepare and draft essential statutory documents, including AGMs, EGMs, and Board Resolutions.Maintain corporate records: Update and maintain minute books, statutory registers, and internal databases.Track compliance timelines: Actively monitor and manage statutory deadlines for all assigned clients.Support Hong Kong entities: Facilitate company incorporations, annual returns, and corporate changes for Hong Kong companies in strict accordance with the Hong Kong Companies Ordinance.Ensure regulatory compliance: Maintain strict adherence to corporate governance standards and regulatory requirements to safeguard our clients' interests.Deliver exceptional client service: Provide guidance and support to clients, fostering strong, long-term relationships.Collaborate internally: Work closely with cross-functional internal teams to align operations with the company's strategic goals and maintain an efficient work environment.Handle operational tasks: Execute other corporate or ad-hoc administrative duties as assigned by the management team.Requirements: Experience: 1–3 years of relevant professional experience, ideally within Corporate Secretarial, Legal Compliance, or Corporate Administration functions.Regional Portfolio: Prior hands-on experience managing Hong Kong entities and working knowledge of the Hong Kong Companies Ordinance is required. Language Proficiency: Fluency in English and Cantonese or Mandarin (both written and spoken) is required to support our regional client portfolio.Technical & Compliance Skills: Prior exposure to drafting basic corporate documentation (such as resolutions or minutes) and tracking regulatory deadlines.Operational Execution: Strong organizational skills with a high attention to detail and accuracy in documentation.Adaptability: Ability to thrive and maintain accuracy in a fast-paced, high-growth environment.ICSA qualification or GradCG status is highly preferred, though not required.The Interview Process:The successful candidate will participate in the below interview stages. We anticipate the process to last no more than 3 weeks from start to finish.Whether the interviews are held over video call or in person will depend on your location and the role.
