Our team is focused on creating a positive experience for families while continuing to grow through strong operations, communication, and community relationships. **POSITION OVERVIEW** We are seeking a full\-time remote Customer Service \& Administrative Coordinator to support daily operations, customer communication, scheduling coordination, and administrative processes. This role primarily focuses on: * Customer Service * Scheduling \& Re\-Scheduling Students * Administrative \& Operational Coordination * Enrollment Assistance \& Follow\-Up * Community Communication Support The ideal candidate is proactive, organized, detailed oriented, personable, and comfortable handling customer communication while managing multiple administrative responsibilities in a remote work environment. This position offers long\-term growth potential as the organization continues to expand. **KEY RESPONSIBILITIES** **Customer Service** * Answer inbound phone calls, texts, emails, and chat inquiries from new and existing customers * Provide accurate information regarding swim programs, pricing, schedules, policies, and swim levels * Assist customers with enrollments, billing questions, freezes, reschedules, and cancellations * Schedule and re\-schedule students into appropriate classes based on age, skill level, and availability * Conduct timely follow\-up with prospective and current customers * Support a positive customer experience through professional and empathetic communication * Help ensure customers feel informed, supported, and confident throughout their experience **Administrative \& Operational Support** * Maintain accurate customer records and notes within HubSpot CRM and other systems * Support scheduling coordination across instructors and pool locations * Assist with reporting, spreadsheets, operational tracking, and data entry * Manage internal communications and administrative workflows * Track enrollment activity and customer communication * Provide general administrative support to ownership and management * Assist with social media and marketing\-related tasks as needed **Community Outreach Support** * Assist with communication and outreach to schools, preschools, daycares, and community organizations * Help maintain partnership and outreach records * Support ongoing relationship communication and follow\-up **Additional Duties** * Perform additional duties and special projects as assigned by management or ownership **REQUIRED QUALIFICATIONS** * 3\+ years of experience in customer service, administrati
