We are known for our exceptional service, providing a wide range of heating, ventilation, and air conditioning solutions. This is a **Full\-Time**, remote position for a dedicated professional who will provide high\-level administrative and operational support, ensuring the smooth and efficient running of our daily business activities. The successful candidate will be a cornerstone of our operations, enabling our technical team to deliver outstanding service to our clients. **Responsibilities** * Manage and coordinate complex schedules, appointments, and calendars for our team of field technicians, optimising routes and workloads. * Serve as the primary point of contact for clients, handling enquiries by phone and email with exceptional professionalism and efficiency. * Process service requests, accurately update customer information in our CRM system, and meticulously maintain client records. * Assist with billing, invoicing, and the preparation of detailed quotes and business reports. * Liaise with suppliers and technicians to coordinate parts, ensure timely dispatch, and facilitate the successful completion of jobs. * Proactively identify and implement improvements to our administrative processes to increase efficiency and enhance the client experience. * Provide comprehensive and confidential administrative support to senior management as required. **Qualifications** * Proven experience as a Senior Virtual Assistant, Executive Assistant, or Office Manager, preferably within a trade or service\-based industry. * Exceptional organisational and time\-management skills, with a demonstrated ability to manage multiple priorities effectively in a fast\-paced environment. * Excellent written and verbal communication skills, with a keen eye for detail and accuracy. * High proficiency in Microsoft Office Suite, Google Workspace, and experience using CRM and scheduling software. * A proactive, self\-starting attitude, with the ability to work independently with minimal supervision. * Strong problem\-solving skills and the ability to handle confidential information with the utmost discretion. * A commitment to providing outstanding customer service.
