Join our team and become a key player in a thriving firm where your skills and expertise are highly valued.The Business Intake Specialist is responsible for managing and processing new client and matter requests through the firm’s intake and ticketing system, ensuring all submissions are complete, accurate, and compliant with firm policies. This role serves as a key point of coordination between attorneys, administrative staff, and risk management by reviewing requests, entering, and validating data, initiating conflicts checks through the submission of the parties and their positions, and following up to resolve missing or unclear information.ResponsibilitiesMonitor and manage incoming maintenance requests through the Upfront platform and Fresh Service ticketing systemReview tickets for completeness, accuracy, and required approvals or supporting documentationEnter and maintain new client and matter information in the Upfront system with a high degree of accuracyInitiate conflicts check in accordance with firm proceduresCoordinate with Risk Management by ensuring all necessary information is provided and clearly documentedTrack status of conflicts requests and follow up as needed to ensure timely resolution and provide responses clearing conflicts to responsible attorney and clientValidate required fields, including client details, billing arrangements, responsible attorneys, and matter descriptionsEnsure consistency with firm naming conventions and data standardsIdentify and resolve discrepancies or missing information prior to matter creationEnsure all intake requests comply with firm policies, regulatory requirements, and risk management guidelinesPerform quality checks on completed matters to confirm accuracy of setupMaintain proper documentation and audit trails within the ticketing systemFlag potential compliance or risk issues for reviewQualificationsMinimum of two (2) years of experience related to the duties described (e.g., general research, paralegal, or project assistance experience), or one (1) year of direct conflicts or business intake experience in a law firm.Prior law firm experience strongly preferred.Demonstrated ability to prioritize and manage multiple tasks while meeting deadlines in a fast-paced environment.Strong organizational skills and attention to detail.Ability to exercise discretion, maintain confidentiality, and apply sound judgment.Professional demeanor with the ability to interact effectively with attorneys, management, staff, and candidates.Experience conducting research and utilizing online databases.Proficiency with legal and business intake platforms and research tools, Upfront (or similar intake environment), Aderant (or similar accounting platform), preferred.Strong project coordination skills: experience supporting enterprise-wide initiatives is a plus.The yearly salary range is between $60,000 - $75,000.For consideration, please submit a cover letter and resume.Gordon Rees Scully Mansukhani is an equal opportunity employer.No recruiter emails or telephone calls.Disclaimer: Reposting positions from this website does not authorize search firms or other third parties to directly solicit candidates on the firm’s behalf or represent a relationship with the firm.
