This role is responsible for managing executive priorities, coordinating organizational activities, facilitating communication, and ensuring the efficient execution of key business processes across a geographically dispersed organization. This a remote role with less than 25% travel requirementsKey ResponsibilitiesExecutive SupportManage complex executive calendars, scheduling, and meetinglogisticsPrepare meeting agendas, presentations, reports, and supporting materialsMonitor and prioritize communications, ensuringtimelyfollow-up on action items and commitmentsSupport executive time management by coordinating priorities andidentifyingscheduling conflictsLeadership Team CoordinationCoordinate leadership team meetings, off-site meetings, workshops, and strategic planning sessions, including travel for meetingsDevelop meeting materials, capture action items, and track completion of key deliverablesFacilitate communication and coordination between leadership team members and cross-functional partnersSupport onboarding activities for leadership team members asrequiredOperational & Project SupportCoordinate organizational initiatives and special projects on behalf of the Senior DirectorAssistwith purchase requisitionsandinvoice processingSupport team recognition programs, employee engagement activities, and organizational communicationsMaintain organizational documents, distribution lists, and internal collaboration sitesAssistwith planning and execution ofinternal and externalmeetings, conferences, and team events, including travel to eventsCommunication & Stakeholder ManagementServe as a primary point of contact for internal and external stakeholdersBuild effective working relationships across Sales, Service, Marketing, Finance, HR, Operations, andAOS teamsDraft and distribute communications on behalf of leadershipHandle sensitive and confidential information with discretion and professionalismQualifications & RequirementsProven experience as an executive assistance, preferably supporting leadersExceptional organizational and time management skillsStrong written and verbal communication skillsAdvanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)Ability to manage multiple priorities in a fast-paced environmentDemonstrated professionalism, discretion, and confidentialityExperience coordinating large-scale meetings, events, and leadership forums.Familiarity with project management and collaboration tools.Key CompetenciesExecutive presence and professionalismOrganization and attention to detailProactive problem-solvingRelationship building and collaborationAdaptability and resilienceAccountability and follow-throughCustomer service orientationWho we are: We are a team of more than 72,000 highly dedicated Healthineers in more than 70 countries.
