Job Description
As the Executive Assistant, you will provide high\-level, proactive administrative and operational support to two senior executives — the SVP of Americas Finance and the SVP of IT — and their respective leadership teams. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to operate independently in a fast\-paced, remote environment. You will serve as a trusted partner, enabling efficiency and effectiveness across day\-to\-day operations, communications, key initiatives, and team\-wide programs.
Calendar \& Meeting Management
* Manage complex, multi\-timezone calendars for both executives; prioritize and resolve scheduling conflicts proactively.
* Coordinate scheduling with senior leaders and cross\-functional stakeholders, maintaining calendar hygiene and auditing recurring meetings as needed.
* Prepare meeting agendas, pre\-reads, and materials; capture and track action items post\-meeting.
Communication \& Correspondence
* Serve as the primary point of contact for internal and external communications directed to the executives.
* Draft, review, and distribute correspondence, reports, and internal updates on behalf of the executives.
* Monitor inboxes, route requests, send reminders, and track outstanding items and follow\-ups.
Travel Coordination
* Arrange complex domestic and international travel for both executives, including flights, accommodation, and ground transportation.
* Coordinate group travel logistics for the IT Leadership Team (ITLT) when traveling together for joint meetings — including hotels, transportation, and meals.
Event \& Conference Planning
* Support planning and execution of leadership offsites, team meetings, and virtual or in\-person events for both functions.
* Lead logistics for IT’s annual conference planning (venue selection, catering, team events, and onsite support), with peak season requiring approximately 10–20 hours per week for 1–2 months.
IT Operations Support
* Coordinate new hire onboarding logistics for the IT organization: send country\-specific onboarding guides to hiring managers, initiate laptop orders, and maintain org chart updates.
* Act as a point of contact for vendor scheduling and status requests; track NDAs and key follow\-ups in coordination with the IT Vendor Management team as appropriate.
Administrative \& Project Support
* Manage expense reporting, document preparation, and filing for both executives; ensure compliance with expense policies and resolve discrepancies with Finance.
* Package content into summaries, decks, or meeting debrief documents and manage distribution.
* Assist with special projects and initiatives, exercising discretion and confidentiality at all times.
* Bachelor’s degree in Business Administration or related field preferred.
* Proven experience as an executive assistant or similar role, ideally supporting multiple C\-level or SVP\-level executives simultaneously.
