This role is responsible for maintaining comprehensive project documentation, coordinating communications across internal and external teams, and ensuring all project tracking activities remain accurate, current, and accessible to the appropriate stakeholders.A primary focus of this position is supporting the maintenance and ongoing management of detailed project plans. This includes updating tasks, timelines, dependencies, and milestones as the project progresses, and ensuring the plan remains aligned with the latest inputs from our team and client stakeholders. Consistent and accurate tracking is essential for maintaining visibility, identifying risks early, and keeping all stakeholders informed.Key ResponsibilitiesProject Plan Maintenance & TrackingMaintain and update the integrated project plan including tasks, timelines, dependencies, and milestones on a continuous basisEnsure all project plan updates accurately reflect the latest inputs from internal team members and client stakeholders in a timely mannerConduct regular schedule reviews to verify accuracy, flag discrepancies, and communicate plan changes to relevant team membersTrack milestone completion and report on progress against established baselinesMaintain version control of project plans and ensure all team members are working from the most current documentationRisk & Issue ManagementMonitor project activities to identify potential risks, blockers, and dependencies that may impact deliverables or timelinesMaintain the risk register, issue log, and action item tracker; escalate critical items to the Project or Program Manager as appropriateSupport early identification of scheduling conflicts and resource constraints through regular analysis of project plan dataAssist in developing and tracking corrective action plans in response to identified risks or issuesStakeholder Communication & ReportingPrepare and distribute regular status reports, dashboards, and project updates to maintain stakeholder awarenessCoordinate internal and external meetings including scheduling, agenda preparation, minutes documentation, and action item follow-upServe as a reliable point of contact for project documentation requests and ensure materials are accessible to authorized team membersFacilitate consistent, clear communication between the project team and all relevant client or partner stakeholdersAdministrative & Documentation SupportOrganize and maintain all project documentation including plans, reports, meeting notes, deliverables, and correspondenceSupport the onboarding of new project team members by providing orientation to project tools, processes, and documentation standardsAssist in the preparation of project presentations, briefings, and deliverable packages for internal and client reviewManage shared project repositories and collaboration platforms to ensure content is current, well-organized, and properly governedSupport contract and procurement administration activities as needed, including tracking deliverable schedules and obligationsRequired QualificationsBachelor's degree in Business Administration, Project Management, Information Technology, or a related field2+ years of experience in a project coordination or administrative support role on professional services or technology programsDemonstrated experience maintaining and updating project schedules using tools such as Microsoft Project, Smartsheet, or equivalentStrong organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneouslyProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms such as SharePoint or Microsoft TeamsExcellent written and verbal communication skills, with the ability to tailor messaging to diverse audiences at all levelsDemonstrated ability to work effectively in a team environment and independently with minimal supervisionSafePaaS is an equal opportunity employer and we are committed to diversity and inclusion in the workplace.
