Job Description
This is a remote position.This is a position within Haldren and not with one of our clients.This fully remote senior role provides dedicated executive support to the Managing Director of an international executive search firm, with a focus on organisation, prioritisation, and operational follow-through across a fast-paced and demanding schedule. Given the global nature of the business, availability across time zones is an important aspect of the role and a degree of schedule flexibility, including occasional evenings, is required.Key ResponsibilitiesManage the MD's calendar, schedule and daily priorities to ensure time and attention are directed effectivelyTrack commitments, decisions and action items to ensure consistent follow-throughPrepare agendas, briefing documents and meeting notes with clear action trackingManage correspondence and stakeholder communication on behalf of the MD with discretion and professionalismPlan, coordinate and run meetings on behalf of the MD, including preparation, facilitation and post-meeting follow-throughCoordinate research initiatives and team projects, ensuring clarity of brief, progress tracking and timely deliveryDelegate and direct tasks across internal teams on the MD's behalf, ensuring accountability and follow-throughLiaise with and oversee relevant team members to keep cross-functional workstreams aligned and on trackCoordinate with internal teams and external stakeholders across multiple time zones to support the MD's engagements and obligationsMaintain confidential records, contracts and documentation across shared systemsAnticipate requirements and proactively resolve issues before they escalate
RequirementsSubstantial experience supporting at MD or C-suite level, ideally within professional services, consulting or executive searchDemonstrated ability to manage complex, high-variability schedules and competing prioritiesExperience coordinating teams, projects and research workstreams in a senior support capacityConfident chairing or facilitating meetings and driving outcomesStrong written and verbal communication skills to a professional services standardHighly organised with reliable follow-through and strong attention to detailSound independent judgement in prioritisation and escalationAbsolute discretion with confidential informationComfortable working across international time zones with flexibility around schedule when requiredSelf-directed and effective working remotelyProficient with business productivity tools and able to adapt to new systems quickly
