Job Description
**Position: Accounting Manager**
**Role Description:**
The Accounting Manager is responsible for ensuring the accuracy and integrity of all financial operations, providing meaningful analysis and reporting to ownership and operations, and building the financial infrastructure needed to support continued growth. The role is hands\-on and requires both strategic thinking and day\-to\-day execution.
Working closely with the Owner, Director of Operations and the company's external CPA, this person will own the full accounting cycle, manage compliance filings, and develop policies and procedures that bring consistency, efficiency, and accountability across all locations.
**Primary Responsibilities**
**Financial Oversight \& Reporting**
* Own and maintain the month\-end and year\-end close process across all three locations
* Prepare, review, and present financial statements including P\&L and Balance Sheets
* Perform budget vs. actuals analysis and provide variance explanations
* Maintain and enhance company financial metrics and trend reporting spreadsheets
* Coordinate with the external CPA for tax preparation and audits
* Ensure the integrity of the general ledger, chart of accounts, and accrual\-basis accounting methodology
* Serve as the primary power user and administrator of QuickBooks Online
* Manage and improve the suite of supporting spreadsheets used for financial metrics and reporting
**Banking \& Cash Management**
* Monitor and reconcile bank activity across all locations
* Oversee bank transactions, deposits, expenses, bills and payments
**Accounts Payable**
* Oversee AP processes managed by the Bookkeeper; review and approve coding accuracy, vendor setup, and payment timing
* Develop and enforce purchasing authorization policies and approval workflows
* Oversee vendor relationships and resolve escalated discrepancies
**Payroll \& HR Support**
* Review payroll submissions for accuracy before processing
* Partner with the HR function to ensure compliance with multi\-state payroll regulations
* Support the development and maintenance of payroll\-related HR policies and procedures
* Assist with benefits cost tracking and labor cost analysis
* Reconcile what's deducted from payroll for health insurance against what's invoiced by the carrier.
**Expense Management \& RAMP Cards**
* Administer the company's RAMP card program; establish and enforce card issuance policies, spending limits, and receipt requirements
* Review and approve employee expense reports for compliance with reimbursement policy
* Develop and maintain a formal expense reimbursement policy
* Ensure all credit card transactions are properly documented, coded, and reconciled in QBO
**Sales Tax \& Regulatory Compliance**
* Prepare, review, file, and remit sales and use tax returns across all applicable jurisdictions
