Chief of Staff
**Part\-Time \| Denver, CO (Remote\-Friendly with Local Presence Required)**
About the Role
Your work will cover speaking engagements, community involvement, and media appearances. The calendar is full, the pace is fast, and the work requires someone who can run the professional operation behind the scenes so our client can stay focused on performing at the highest level.
This is not a traditional assistant role. The right person is a proactive operator who takes full ownership of the speaking and event business, anticipates needs before being asked, and represents the client professionally in all external communications.
What You'll Actually DoSpeaking Engagements — Own the Entire Lifecycle
This is the core of the role. You will manage every speaking engagement from inquiry to post\-event, including:
* **Incoming bookings:** Monitor dedicated email inboxes for new speaking requests and event inquiries; triage and respond promptly
* **Deliverable submissions:** Proactively collect and submit to event organizers: speaker bio, headshots, presentation decks, session titles/summaries, AV/stage requirements, and arrival logistics
* **Pre\-event prep:** Review run\-of\-show documents, talking points, and intro scripts; brief the client before each appearance
* **Day\-of logistics:** Confirm guest lists, coordinate arrival, and be on\-call for last\-minute changes
* **Post\-event:** Collect professional photos, video footage, and download media assets to shared storage
* **Invoicing:** Generate and send speaking invoices (W\-9, service agreements) to event clients
Calendar Management
* Maintain and manage calendars across Google Calendar and Apple Calendar
* Accept or decline event invitations with appropriate context notes (e.g., who's making the introduction, what the audience expects, tone of the event)
* Track existing professional commitments and flag conflicts with speaking or event obligations
* Manage scheduling requests, propose alternatives when conflicts arise, and coordinate time\-off when event obligations require it
External Communications \& Relationship Management
* Serve as the primary point of contact for all event organizers, sponsors, and media partners
* Draft and send correspondence on the client's behalf to event contacts, sponsors, and partners
* Manage ongoing relationships with nonprofit, corporate, and civic partners across recurring engagements
* Respond to media partnership and sponsorship requests in a timely, professional manner
Broadcasting \& Media Support
* Coordinate media appearance logistics: travel bookings, production materials, hotel, and ground transport
* Liaise with talent representation and agents on media opportunities and scheduling
* Submit headshots and bios to networks and production companies when requested
* Flag relevant media briefings or research materials the client should review before appearances
