**Virtual Assistant (Real Estate Transaction Coordination \+ EA)** **The Wheelock Team \| Keller Williams NYC** Remote VA position About Us The Wheelock Team is a high\-performance luxury real estate team based in New York City. We specialize in helping buyers, sellers, and investors navigate the NYC market with precision and strategy. Our standard is simple: **level 10 service, zero dropped balls, and proactive communication at all times.** We are growing—and looking for a **detail\-obsessed, process\-driven Virtual Assistant** who can help manage deals, maintain accuracy across platforms, and communicate confidently with clients and agents. About the Role This is a **critical operations position** responsible for keeping deals on track, ensuring nothing is missed, and protecting the client experience from contract to close. You will be expected to: * Take ownership of your work * Communicate clearly and proactively * Work quickly without sacrificing accuracy * Get on the phone when needed (clients, agents, attorneys) Key Responsibilities Deal \& Transaction Support * Track and manage multiple real estate deals at once * Follow up with all parties to ensure timelines are met * Identify risks or delays early and escalate when needed * Send deal updates to agents, clients, and referral partners Systems \& Data Accuracy * Create and update listings on platforms like StreetEasy and Perchwell * Maintain accurate records in CRM systems (Command) * Enter commission details and upload required documents * Prepare and send deal sheets Communication * Provide clear, professional updates via email and phone * Follow up consistently without being asked * Ensure all parties are informed and aligned Financial \& Administrative Tasks * Create invoices and verify commission accuracy * Double\-check all numbers before submission Who You Are You are: * Extremely detail\-oriented (you catch what others miss) * Organized and process\-driven (you use systems, not memory) * Proactive (you don’t wait to be told what to do) * Comfortable on the phone (this is required) * Calm under pressure and able to manage multiple priorities * Fluent in written and spoken English Preferred Experience (Not Required but Strongly Valued) * Real estate experience (especially NYC real estate) * Experience with StreetEasy, Perchwell, or similar platforms * Transaction coordination or deal management experience * CRM experience (Command or similar) Important This role requires **precision and accountability**.
