Reporting to the Director, Administration, this role supports the development, implementation, and continuous improvement of operational processes, internal communications, technology administration, and organizational operations. Combining strategic thinking with hands-on execution, the Senior Manager, Administration strengthens organizational infrastructure, drives operational excellence, and serves as a trusted resource across the organization. This role requires assisting and acting in a confidential capacity for the Administration Department, with regard to management policies related to labor relations and may substitute for other employees having such duties. Administration Operations & Organizational SupportCoordinate and facilitate organizational governance and operational meetings, such as People Manager and All Staff meetings, Labor Management Committee meetings, including meeting logistics, agenda development, documentation, and deliverables follow-through.Provide administrative and operational support for labor-management activities, including maintaining confidential labor-relations records, bargaining-related documentation, meeting records, and management communications.Prepare speakers, logistics, presentations, and documentation for organizational meetings in collaboration with the Director, Administration.Serve as an expert meeting host, handling technical setup, attendee management, and interactive features (e.g., polls and breakout rooms) to ensure high-quality participant experience. Create and maintain documentation regarding administrative systems, policies, procedures, processes, and organizational resources. Identify and escalate discrepancies, process gaps, operational risks, or system issues related to records, policies, or systems to the appropriate stakeholders and proactively support resolution efforts.Identify, develop, and implement administrative processes, workflows, and operating procedures to increase efficiency, consistency, and organizational effectiveness.Internal Communications & Knowledge ManagementOwn recurring internal communication channels and processes, such as monthly Operations newsletters, ensuring timely, accurate, consistent, engaging, and accessible information sharing across the organization.Draft, coordinate, schedule, and distribute customized communications across multiple channels, including Slack, email, intranet, and organizational announcements. Manage and continuously improve the organization's intranet, ensuring information remains current, organized, and accessible.Create and maintain presentations, templates, and communication materials in accordance with organizational brand standards. Manage incoming physical mail, ensuring timely and secure handling of organizational correspondence.Technology, Vendor & Systems Management Serve as a liaison for designated vendors, including IT, ensuring timely resolution of issues, and effective vendor relationship management.Maintain the organizational repository of systems, tools/platforms, and licenses including access management and inventory tracking.Partner with stakeholders to improve system utilization, strengthen security practices, and enhance staff experience.Manage projects to improve cybersecurity, improve IT processes, and streamline systems.Coordinate staff training and
