**Remote Office Administrator \| Scheduling \& Operations Coordinator (Part\-Time → Full\-Time)AquaCats Mobile Swim School**
AquaCats Mobile Swim School is seeking a highly organized, detail\-oriented, and dependable Remote Office Administrator to support our growing operations team.
This position begins as a part\-time remote role on Tuesdays and Thursdays (10:00 AM \- 6:00 PM EST), with the opportunity to grow into a full\-time Monday\-Friday position for the right candidate.
This is an excellent opportunity for someone with experience in administrative support, customer service, scheduling, operations, office management, executive assistance, client relations, project coordination, or virtual assistance.
Responsibilities
Client Communication \& Customer Service
* Answer incoming calls, texts, and emails
* Respond to new client inquiries
* Provide program information and assist families through the enrollment process
* Manage client communications and customer service requests
* Maintain a professional, positive, and solution\-oriented experience for families
Scheduling \& Operations
* Schedule and reschedule swim lessons
* Coordinate instructor schedules and availability
* Track makeup lessons and client accounts
* Coordinate substitute instructors and schedule changes
* Fill open schedule spots efficiently
* Support day\-to\-day business operations
Instructor Support
* Communicate with instructors regarding schedules and updates
* Assist with onboarding new instructors
* Maintain instructor records and documentation
* Help ensure instructors have the information and support needed to succeed
Billing \& Administrative Support
* Follow up on billing and payment matters
* Track outstanding balances and payment information
* Maintain accurate records within company software systems
* Update databases, spreadsheets, and CRM systems
* Assist with operational organization and workflow management
Growth, Systems \& Organization
* Assist with company growth initiatives and operational improvements
* Help implement new systems, software, and organizational processes
* Support database migration and data organization projects
* Identify inefficiencies and recommend process improvements
* Assist with documenting standard operating procedures (SOPs)
* Help create structure and accountability across administrative operations
* Support business scaling efforts as the company expands into new markets
* Collaborate with leadership on special projects related to growth, organization, and operational excellence
QualificationsRequired
