Job Description
**Executive Assistant (Independent Contractor)**
**Location:** Remote
**Rate:** $30–35/hour
**Estimated Hours:** 5–10 per week
**About the Role**
Fertility Bridge is seeking a highly organized, proactive, and trustworthy Executive Assistant to support the company owner in both strategic and day\-to\-day operations. This role is ideal for someone who thrives in a fast\-paced, evolving environment and takes full ownership of their work. You will serve as a key partner to the executive—managing priorities, streamlining communication, and ensuring nothing falls through the cracks.
**Key Responsibilities**
* **Executive Communication \& Information Flow**\- Serve as the primary gateway for information to and from the executive. Stay informed on company updates, industry trends, and key stakeholders, and ensure effective communication across the team.
* **Calendar \& Priority Management**\-Fully own and optimize the executive’s calendar. Eliminate scheduling conflicts, prioritize high\-value meetings, and ensure time is aligned with business priorities. Reschedule or decline lower\-priority commitments as needed.
* **Virtual Assistant Oversight**\-Manage and guide an international Virtual Assistant responsible for tasks such as travel booking, email management, and scheduling. Ensure processes are followed, budgets are maintained, and key updates are communicated effectively.Oversee the organization, storage, and timely execution of important documents, including those related to insurance, banking, taxes, and government compliance. Maintain accuracy, security, and accessibility.Coordinate and manage access to tools and platforms (e.g., GSuite, LastPass), ensuring appropriate permissions are granted to team members, contractors, and clients.Negotiate vendor rates, evaluate options, and implement automation where possible to improve efficiency and reduce costs while maintaining strong professional relationships.
* **Administrative Operations \& Documentation\-**Oversee the organization, storage, and timely execution of important documents, including those related to insurance, banking, taxes, and government compliance. Maintain accuracy, security, and accessibility
* **Access \& Systems Management\-**Coordinate and manage access to tools and platforms (e.g., GSuite, LastPass), ensuring appropriate permissions are granted to team members, contractors, and clients.
* **Vendor Coordination \& Process Improvement**\-Negotiate vendor rates, evaluate options, and implement automation where possible to improve efficiency and reduce costs while maintaining strong professional relationships.
