Job Description

This is a remote position.We are a team augmentation company dedicated to connecting exceptional remote talent with global organizations.We are seeking a highly organized and detail-oriented Legal Administrator to support day-to-day legal and administrative operations. This role involves managing legal documentation, coordinating with clients, and ensuring smooth workflow across legal matters, including handling client communications via phone and email.ResponsibilitiesLegal & Administrative SupportPrepare, format, and manage legal documents, contracts, and correspondenceMaintain and organize legal files, records, and document management systemsAssist with drafting basic legal documents and templatesConduct basic legal research where requiredClient Communication & Call Handling (VXT)Manage inbound and outbound client calls using VXT or similar systemsEnsure all calls, messages, and client queries are followed through promptlyMaintain a high standard of client service, ensuring same-day response to all client communicationsCoordinate call notes, updates, and follow-ups with the legal teamEscalate urgent matters to lawyers where requiredClient & Workflow CoordinationManage emails, calendars, and meeting coordinationHandle client communication, including follow-ups and status updatesTrack case progress and ensure deadlines are metLiaise with lawyers, clients, and third partiesAssist with onboarding new clients and file setupGeneral SupportPerform general administrative tasks to support the legal teamAssist with billing coordination, invoicing, and documentationEnsure compliance with internal processes and legal procedures RequirementsRequirements1–3+ years’ experience in legal administration or similar roleExperience handling client calls and communications professionallyStrong organizational and multitasking skillsExcellent written and verbal communication skillsHigh attention to detail and responsivenessAbility to work independently in a remote environmentNice to HaveExperience with VXT or similar VoIP/call management systemsExperience in conveyancing, family law, or immigration lawFamiliarity with legal/CRM systems (e.g., Clio, LEAP, Smokeball)Exposure to Australian / UK legal processes BenefitsRemote work flexibility with a competitive compensation package.Access to industry-leading tools and resources.Opportunities for professional development and training.Impactful role in supporting financial solutions and client success.Note: Only shortlisted candidates will be contacted for further discussions.Teams Squared is a proud equal opportunity employer.
