With multiple active projects and new contracts underway, the company is entering an exciting stage of expansion and is seeking reliable operational support to help streamline day-to-day business functions.The business operates in a fast-paced environment that requires strong coordination across administration, workforce scheduling, supplier communication, and financial processes. The leadership team is looking for a highly organized and proactive Operations Assistant who can help improve efficiency, reduce administrative pressure, and support ongoing business growth.This is an excellent opportunity to work closely with an experienced business owner in a critical support role where your contribution will have direct impact on daily operations and long-term scalability.About the RoleWe are seeking an experienced and highly organized Operations Assistant to support the day-to-day administrative and operational functions of a growing Australian underground mining business.This role is ideal for someone with strong senior administrative experience who thrives in a fast-moving environment and can confidently manage multiple priorities with minimal supervision. You will work directly with the business owner and internal team to ensure smooth coordination across schedules, communications, documentation, payroll support, and general operations.Key Responsibilities:Manage and organize business emails, calendars, and administrative correspondenceCoordinate communication between suppliers, contractors, clients, and internal staffAssist with employee roster creation and workforce schedulingSupport daily operational coordination across multiple active projectsMaintain accurate records, documentation, and filing systemsAssist with payroll processing and bookkeeping supportManage data entry, invoice tracking, and financial administration tasksUtilize Xero software for bookkeeping and operational support where requiredMonitor and follow up on operational tasks to ensure deadlines are metProvide general executive and operational assistance to the business ownerSupport process improvement initiatives to increase operational efficiencyHandle ad hoc administrative duties as requiredRequirementsRequired Skills and Qualifications:Minimum 3 to 5 years of experience in an Operations Assistant, Executive Assistant, Senior Administrative, or similar support roleStrong organizational and multitasking abilitiesExcellent verbal and written English communication skillsProven ability to work independently and manage competing prioritiesExperience handling supplier and client communications professionallyStrong attention to detail and problem-solving skillsExperience with payroll and bookkeeping functions preferredPractical experience using Xero software is highly preferredProficiency with Microsoft Office Suite and Google WorkspaceAbility to adapt quickly in a fast-growing and evolving business environmentReliable internet connection and suitable remote work setup requiredWork Arrangement & Expectations:This is a remote role that will be set up as an independent contractor engagement.To ensure alignment and transparency, successful candidates will be expected to:Disclose any existing ongoing roles or client workReflect this engagement on their LinkedIn profile (clearly marked as “Independent Contractor”)Originally posted on Himalayas
