This is an opportunity to become a key operational partner within a purpose-driven company where your work will directly impact long-term growth.About the RoleThe Operations Coordinator will become the founder's trusted operational partner, helping build the systems, processes, and infrastructure needed to support continued business growth.This role is designed for someone who wants to grow into an Operations Manager over the next 1β3 years, eventually overseeing company operations, client experience, projects, systems, and team coordination.The ideal candidate is proactive, resourceful, highly organized, and naturally anticipates challenges before they arise. Rather than simply identifying problems, you enjoy presenting solutions and taking ownership of execution.KEY RESPONSIBILITIES1. Project ManagementTrack active projects, timelines, deliverables, and prioritiesMaintain and organize Trello project boardsCoordinate operational tasks across multiple initiativesMonitor deadlines and ensure projects remain on scheduleMaintain organized project documentationCoordinate special projects from planning through executionSupport strategic business growth initiatives2. OperationsIdentify opportunities to improve workflows and business processesBuild scalable systems that improve efficiency and consistencyCreate, document, and continuously improve Standard Operating Procedures (SOPs)Coordinate vendors, purchases, deliveries, and service providersConduct research on products, vendors, and business initiativesPresent recommendations that support informed decision-makingAssist with implementing new operational systems and improvements3. Client ExperienceManage client communication from initial inquiry through project completionRespond promptly to client emails and routine inquiriesFollow up with leads, prospects, and existing clientsSend onboarding materials, agreements, reminders, and documentationMaintain organized client communication recordsCoordinate onboarding activitiesDeliver thoughtful follow-up that creates exceptional client experiences4. Executive SupportManage business and personal calendarsSchedule meetings, consultations, appointments, and eventsCoordinate schedules across multiple stakeholdersHandle appointment confirmations and reschedulingPrevent scheduling conflicts and maximize calendar efficiencyProvide executive administrative support as needed5.
