POSITION OVERVIEW
We are hiring a full\-time Office Manager / Sales \& Client Relations professional to own the business operations side of our company. This is a hybrid position — some days in our Savanna, IL office on Route 84, and some days working remotely.
This is not a receptionist or data entry role. The person in this position is responsible for keeping a fast\-moving construction company organized, financially healthy, and professionally represented to every client, vendor, and lead we work with.
You will work directly with the owner and have real ownership over your responsibilities from day one.

RESPONSIBILITIES
Bookkeeping \& Financial Management
\- Manage QuickBooks on a daily basis — invoicing, job costing, accounts payable/receivable, and bank reconciliation
\- Track draw schedules across multiple active construction projects
\- Support payroll processing and cash flow management
\- Maintain accurate financial records for all active jobs and entities
Contracts \& Documentation
\- Prepare, review, track, and file proposals, contracts, and change orders
\- Maintain organized project files for all active and completed jobs
\- Track permit status and documentation requirements by project
Client Relations
\- Serve as the primary point of contact for clients from first inquiry through project completion
\- Manage client communication professionally via phone and email
\- Keep clients informed on project timelines, draw schedules, and milestones
Sales Support
\- Follow up with inbound leads and coordinate estimate scheduling
\- Assist with proposal preparation and presentation
\- Help move prospective clients through the pipeline from first contact to signed contract
Vendor \& Supplier Coordination
\- Manage supplier accounts and coordinate material orders
\- Communicate with vendors, subcontractors, and suppliers as needed
\- Track outstanding orders and delivery timelines

QUALIFICATIONS
Required:
\- Demonstrated experience with QuickBooks (this is required — not optional)
