Job Description
This is a remote position.Our client is looking for a Construction Administrative Assistant to support their growing construction operations team. They are a fast-paced company in the construction and project management industry that has continued expanding its operations and improving project coordination processes over the past few years.This role is ideal for someone who thrives in an organized environment, enjoys coordinating multiple moving pieces, and is comfortable communicating with subcontractors, vendors, and internal teams on a daily basis. The selected candidate will play a key role in keeping projects moving efficiently, ensuring schedules stay organized, and maintaining clear communication throughout the construction process.The ideal professional is proactive, detail-oriented, highly responsive, and confident following up with subcontractors and vendors when needed. Strong English communication skills are essential, as this role requires frequent written and verbal interaction with U.S.-based contacts.ResponsibilitiesCoordinate and follow up with subcontractors regarding schedules, appointments, and project updates
Manage calendars, schedules, and daily administrative workflows
Monitor and organize incoming emails while ensuring timely responses
Communicate with vendors, subcontractors, and project stakeholders through phone calls, emails, and text messages
Keep projects organized and progressing through JobTread software
Take notes during meetings and track action items
Help ensure construction projects remain on schedule and properly documented
Assist with general administrative and operational tasks as needed
Maintain professional and friendly communication while ensuring accountability from subcontractors and vendors
RequirementsAdvanced English communication skills, both written and spoken
Previous experience supporting construction projects or construction operations
Experience handling subcontractor coordination and follow-up
Strong organizational and multitasking abilities
Comfortable making calls and following up consistently with vendors and subcontractors
Ability to work independently and proactively solve problems
Experience managing schedules, emails, and administrative processes
Strong attention to detail and ability to prioritize tasks effectively
QualificationsExperience as a Construction Administrative Assistant, Project Coordinator, Construction Coordinator, or similar role
Familiarity with construction workflows, timelines, and vendor coordination
Experience using project management or construction management software
Ability to maintain professionalism in fast-paced environments
Personable, straightforward, and honest communication style
Experience with JobTread is considered a strong plus
