Job Description

**6S DIGITAL** **Billing \& Books Coordinator** *Part\-time · Remote (U.S.) · \~10–15 hours/week* **The Job in One Sentence** You own the cash cycle: invoices go out, payments get collected, QuickBooks and Stripe stay honest, books are clean. **What This Company Is** 6S Digital is a digital marketing agency that works with law firms, financial services, and home\-services companies. Retainers, projects, refunds, Stripe payouts, HubSpot and PandaDoc in the mix. Not a lemonade stand. Not a 200\-person finance team either. We already have monthly books support. What we do not have is one person inside the company week\-to\-week who bills the work, hunts late payments, and can explain the P\&L without a two\-week lag. **What You Will Own** * Create and send invoices from the source of truth (QuickBooks, Stripe, and related tools). No “I’ll get to it Friday.” Target: billed within 24 hours of work being deliverable / period close. * Run accounts receivable. Aging report every Monday in Slack. 7 / 14 / 21 / 30\-day follow\-up cadence. Escalate to the owner with a recommended next step, not a shrug. * Track fail\-to\-pays, partial pays, refunds, and billing disputes. Document what happened. Keep client conversations professional. These are law firms and operators, not anonymous carts. * Reconcile Stripe payouts to QuickBooks. Payouts are not revenue. If that sentence confused you, this is not your seat. * Close the month. Clean P\&L, income reporting, AR aging, billed vs collected. Books closed by the 10th. * Live in Slack. You are part of the team, not a monthly vendor who answers email on Tuesdays. * Flag process holes: work that shipped and never got billed, two systems that disagree, a client who always pays late. Fix what you can. Bring the rest with a recommendation. **What This Is Not** * Not a fractional CFO seat. No board decks. No five\-year forecasts. * Not a full\-time controller. * Not “enter transactions and disappear until month\-end.” * Not collections theater. No screaming. No disappearing either. **Who This Is For** * 2\+ years billing and AR in professional services, an agency, a consultancy, or a similar retainer/project shop. * QuickBooks Online in your sleep. Stripe reconciliation is not a stretch goal. * You can tap a late\-paying client without sounding like a repo man or a doormat. * You like a short, clear scoreboard: invoices out, cash in, books closed, aging clean. * You can work 10–15 hours a week on a reliable cadence (not “whenever I have a gap”). Some weeks will spike around month\-end. Say so if that breaks you. **Who Should Not Apply** * Bookkeepers who only close books and will not chase an invoice. * VAs who “can learn QuickBooks.” * Anyone who needs 40 hours and a benefits package to feel employed. * Anyone who treats Slack like optional email. * Anyone who cannot write a clear, short client email about money. **Hours, Pay, Structure** **Hours:** Part\-time, about 10–15 hours per week.
