Payroll & Administration AssistantCompany: Oriental Aviation International Pte Ltd Location: Remote, PH Employment Type: Full-TimeJob SummaryWe are seeking a detail-oriented and organized Payroll & Administration Assistant to support the company's payroll operations and administrative functions. The successful candidate will be responsible for end-to-end payroll processing, employee records management, contract administration, and coordination of employee-related activities while ensuring compliance with company policies and relevant employment regulations.Key ResponsibilitiesPayroll AdministrationProcess monthly payroll accurately and on time for employees and external staff.Maintain and reconcile employee timekeeping and attendance records.Input and update employee information, including new hires, terminations, salary adjustments, and benefits in the payroll system.Review and approve medical claims, leave records, and payroll-related transactions.Perform payroll reconciliation and ensure compliance with payroll procedures and deadlines.Manage payroll billing and related documentation.Employee Records & Contract ManagementPrepare employment contracts, contract renewals, and amendments for external staff.Coordinate the distribution and collection of signed employment contracts.Maintain accurate and up-to-date employee personnel files and records.Ensure confidentiality and proper handling of employee information.Administrative SupportSchedule and coordinate employee training courses and medical check-ups.Maintain medical claims records and other HR administrative databases.Prepare and submit monthly waiver of levy applications and other required employment-related submissions.Assist with general administrative duties and documentation management.Provide support on ad hoc administrative and payroll-related projects as assigned.Qualifications & ExperienceMinimum 1 year of experience in payroll processing and administrative support.Experience handling payroll software and Microsoft Excel.Familiarity with payroll regulations, statutory requirements, and employment administration.Knowledge of Singapore Ministry of Manpower (MOM) regulations is an advantage.Experience in maintaining employee records and handling confidential information.Skills & CompetenciesStrong attention to detail and high level of accuracy.Excellent organizational and time management skills.Ability to work independently with minimal supervision.Strong numerical and analytical abilities.Good communication and interpersonal skills.Proficient in Microsoft Office applications, particularly Excel.Ability to manage multiple tasks and meet deadlines in a fast-paced environment.Key Performance Indicators (KPIs)Timely and accurate payroll processing.Accuracy of employee records and payroll data.Compliance with payroll and employment regulations.Timely completion of administrative tasks and submissions.Efficient management of employee documentation and contracts.Originally posted on Himalayas
