🚀 Target Start Date: ASAPROLE OVERVIEWAbout the Client:Our client is a fast-growing consulting and coaching firm dedicated to helping construction and trade business owners scale profitably. The business focuses on profit acceleration, operational training, and empowering trade clients to document their own business processes.
Founded by a former accountant with a deep passion for financial precision and clear metrics, the firm runs a lean, high-output operation that is heavily automated using GoHighLevel (GHL). Beyond core consulting, the business maintains a strong digital footprint with an active newsletter, a popular YouTube presence, and a short-form podcast.About the Role:We are seeking a proactive, sharp, and highly trustworthy Executive Assistant & Right Hand to partner directly with the Founder. This is not a passive task-execution role—it is a fractional co-pilot opportunity for someone who naturally looks for ways to relieve executive burden, optimize operational bottlenecks, and challenge the status quo.
You will step into daily operations to take full control of CRM management, media distribution logistics, inbox triage, lead follow-up, and process documentation. Your ultimate goal is to act as the Founder's "hip-to-hip" operational partner—helping identify low-leverage tasks to delegate, building clean SOPs, and becoming an indispensable partner in the firm's growth. How Success is MeasuredThis role is measured by how effectively you reduce the Founder's workload, protect their time, and proactively identify additional responsibilities you can take ownership of as trust is established.Key Responsibilities1. Core Executive Support & Project Coordination
Executive Priority Management:Own and maintain the Founder’s priorities and task list, ensuring important initiatives stay on track and nothing falls through the cracks.
Project & Team Coordination: Proactively track ongoing projects, vendors, and team initiatives, following up with the appropriate people to keep everything moving without the Founder having to manage the follow-up.
Inbox Triage & Relationship Management: Filter, prioritize, and manage the Founder’s inbox, ensuring high-value client communication and urgent requests never slip through the cracks.
Pre-Meeting Client Briefings: Conduct light research on upcoming client meetings to prepare background context and portfolios so the Founder is always prepared.
Travel Logistics: Assist in coordinating and booking travel arrangements for conventions, industry events, and client trips.
Delegation Mapping: Work closely with the Founder to spot low-leverage tasks they are holding onto and systematically build processes to take them off their plate.
2. CRM Management, Lead Nurture & SOPs
GoHighLevel (GHL) Administration:Maintain and monitor GHL workflows, contact pipelines, scheduling calendars, and broadcast messaging.
Proactive Lead Nurture & Human Touch: Perform manual, personal touchpoints with past leads (e.g., re-engaging "not right now" leads) and send personalized hellos to confirm upcoming calls outside standard automations.
Internal SOP Development: Create, refine, and maintain clean operational SOPs for your role and overall firm operations.
Client SOP Development (Future Growth): Assist in drafting and organizing operational SOP templates for coaching clients as the firm expands.
3. Media, Newsletter & Content Coordination
Social Media & Video Logistics:Organize assets, write brand-aligned descriptions, and schedule post distribution across YouTube, podcast platforms, and social channels (content creation/recording is handled by the Founder).
Newsletter & Announcements: Draft, format, and broadcast client newsletters, announcements, and touchpoint updates.
This role is designed to evolve. As trust builds and you and the Founder get to know each other's workflows and skill sets, additional high-impact responsibilities will naturally be handed off to you.Qualifications & Skills
Experience: 3+ years as an EA, Operations Assistant, or Right Hand supporting business owners/executives.
Industry Familiarity: Prior experience or strong comfort working within construction, trades, or male-dominated business environments is highly preferred.
Software Familiarity:
GoHighLevel (GHL) or similar complex CRM environments.
