Job Description

We are looking for a highly organized, tech\-savvy, and proactive Administrative Assistant / Operations Coordinator to help support the daily operations of a fast\-growing short\-term rental and hospitality company based in Oklahoma. This role is perfect for someone who thrives in organized chaos, loves systems, enjoys solving problems, and can help keep multiple moving pieces running smoothly behind the scenes. Responsibilities * Create and maintain inventory management systems for supplies, linens, amenities, and property needs * Manage and organize company systems, workflows, and operational processes * Assist with updates and maintenance inside: * Hospitable * Cloudbeds * Lovable * Help organize inboxes, labels, folders, and email workflows * Track invoices, receipts, vendor payments, and operational expenses * Support guest communication when needed, including occasional guest messaging and issue resolution * Assist with onboarding and organization of cleaners, vendors, and contractors * Maintain digital documents, SOPs, checklists, and company records * Identify inefficiencies and recommend better systems and automations * Coordinate with team members to ensure operations stay organized and on schedule Qualifications * Strong organizational and communication skills * Detail\-oriented with the ability to manage multiple priorities * Comfortable learning new software and systems quickly * Experience with hospitality, operations, property management, or administrative work preferred * Ability to work independently and problem\-solve without constant oversight * Strong computer and technology skills * Familiarity with Google Workspace, spreadsheets, task management tools, and automation platforms is a plus * Experience with Airbnb or short\-term rentals is a bonus Ideal Candidate * Loves checklists, systems, and organization * Can bring structure to fast\-moving operations * Calm under pressure and adaptable * Professional but personable * Takes ownership and follows through * Thinks proactively instead of waiting to be told what to do Position Details * Part\-time or full\-time depending on experience and availability * Hybrid or remote possible depending on location * Flexible schedule with some availability for operational needs * Opportunity for growth within a rapidly growing hospitality company About Us CoHost Oklahoma is an Oklahoma\-based hospitality and short\-term rental company focused on creating exceptional guest experiences while building systems that support homeowners, guests, and our team.
